Organisation admins can invite colleagues to Nexus from Practice → Team members. Invited colleagues join your organisation with access to the same packages — there's nothing extra to buy per user.
Sending an invite
- Open Practice → Team members.
- In Invite a team member, enter your colleague's email address (e.g.
colleague@surgery.nhs.uk) and press Send invite.
- They receive an email with a sign-up link. Until they accept, they appear under Pending invitations with the invite's expiry date.
When your colleague opens the link they set a password and their account is created, joined to your organisation. They then show in the members list as Pending approval — approve them there and their access switches on, along with everything your practice's setup gives them. See Approving requests to join.
If your practice uses Medicus, the invitation includes the extra setup steps for it — installing the Nexus Chrome extension and, where your live-record link is enabled, connecting to Medicus automatically. There's nothing to configure per colleague: it follows from your practice's own setup.
Who should you invite?
Anyone at the practice who will use the tools: practice managers, admin staff working recalls, clinicians using the dashboards, whoever builds your searches and templates. Access to features is controlled by your organisation's packages and by role, not per-seat pricing.
Tips
- Invites go to one email at a time — repeat for each colleague.
- If your colleague already has a Nexus account (a free NHS dashboards account, for instance), they'll be asked to sign in rather than create a second one, and joining takes effect once they do.
- You can't invite someone who already belongs to a different organisation on Nexus, or a Primary Care IT staff address — contact us to move an account.
- If an invite expires before it's accepted, simply send it again.
- If we can't send the email for any reason, we'll tell you and show the invitation link on screen so you can pass it to your colleague yourself. The invite is still valid — only the email failed.
- During onboarding the Primary Care IT team may send the first invites for you, using the contacts held for your practice on our systems. These look and work exactly the same as an invite you send yourself, and the colleague still appears in your members list once they accept.
- Colleagues can also self-serve: if they register and pick your practice in the sign-up wizard, it becomes a request to join your organisation that you approve. See Joining your organisation's existing account.
