Roles — admins and members
Every user in your organisation is either an admin or a member. In short: *admins manage the organisation; members use the tools.*
What members can do
- Use every feature your organisation's packages unlock — dashboards, build tools, monitoring, workforce, FFT and so on
- See Practice → Settings (read-only)
- View billing status (but not manage payment)
What admins can additionally do
- Team members — invite colleagues, approve pending members, deactivate or reactivate accounts, promote others to admin, remove users
- Billing — add or update the payment method, open the Stripe billing portal, view invoices
- Settings — edit the practice name and registered patient count
- AI Insights — buy Insight Credit packs and set the monthly credit cap
- Approve leave and manage other manager-level workflows in Workforce and Monitoring
Admins are marked with a crown badge in the Team members list.
How admins are appointed
- The person who registers the organisation becomes its first admin on approval (they confirm they're authorised during sign-up).
- Any admin can promote another member with the Promote to admin action in Practice → Team members.
We recommend having at least two admins, so approvals and billing aren't blocked when someone is away.
A note on finer-grained access
Some features have their own per-user or per-site access settings on top of the admin/member split (for example FFT staff access). If a colleague can't see a feature the practice holds, see Why can't I see a feature?.
