Setting up Workforce

The Workforce tools — rota planning, room charts, leave and absence — need to know how your practice works before they can help. Workforce → Setup is a guided, autosaving wizard that captures exactly that. Expect it to take a practice manager under an hour, and you can stop and resume at any point.

The setup steps

A progress rail tracks your completion through:

  1. Organisation profile — name, organisation type (GP practice, PCN, federation, hub), your holiday-year start date, bank-holiday region, and whether you operate multiple sites
  2. Sites — each location you run
  3. Rooms — the rooms at each site
  4. Teams & roles — how your staff group is structured
  5. Staff — your people
  6. Working patterns — who normally works when
  7. Extended access — evening/weekend sessions, if you provide them
  8. Go live — review and switch on

Everything autosaves as you go.

Tips

  • Get working patterns right first — the rota planner, leave balances and clash detection all build on them.
  • Staff see their own rota and leave through My workforce, matched by their email — make sure the staff records use the same email each person signs in to Nexus with.
  • The holiday-year start date drives leave entitlement calculations — set it to your actual leave year, not the calendar year, if they differ.
